How to print checks in QuickBooks Online without ruining a batch of stock
Confirm whether QuickBooks is set to Voucher or Standard before you order check stock, and run the alignment sample on plain paper. Getting either wrong wastes a whole box.
Verdict
Set the check type in Print setup before ordering stock, because Voucher and Standard are not interchangeable. Run the alignment sample on plain paper first. Only then load real check stock.
The expensive mistake, first#
| Type | Layout | Who uses it |
|---|---|---|
| Voucher | One check plus two stubs | Most businesses. The stub records what the payment was for |
| Standard | Three checks per page | Higher volume, no stub needed |
They are physically different paper. There is no way to make one work in place of the other.
Setting up, once#
1. Go to Expenses → Expense transactions.
2. Select Print checks.
3. Select Print setup.
4. Choose Voucher or Standard.
5. Print the sample on plain paper.
Getting alignment right#
Plain paper only
Where every alignment test belongs
Hold a blank check behind the sample against the light. Adjust, reprint, repeat.
Never test on real check stock. Print the sample on plain paper, hold a blank check behind it up to the light, and see whether the fields land in the right boxes.
If they do not, adjust the grid position in Print setup and print another plain-paper sample. Repeat until it lines up.
Only then load real stock.
This is worth repeating after you change printer, because alignment is a property of the printer as much as the settings.
Printing the checks#
Print check prints immediately.
Print later adds it to the queue, which is what you want if you pay several bills at once. Then open Print checks, tick everything in the queue, confirm the starting check number, and print the batch.
What the stock has to have#
This comes from your bank, not from QuickBooks.
Check stock must carry, in certified MICR magnetic toner:
- Your company name and address
- Your bank routing number
- Your account number
MICR is what the bank machinery reads. A number printed in ordinary toner will not clear, no matter how correct it looks.
Blank check stock is fine. Blank paper is not.
If a check prints wrong#
Do not reprint over it and do not throw it away silently. That check number now exists.
Void it in QuickBooks so the number stays accounted for, then print a replacement with the next number. The difference between voiding and deleting, and why deleting leaves a gap somebody will ask about, is in how to void a check.
The order that avoids waste#
1. Confirm Voucher or Standard in Print setup.
2. Order stock to match.
3. Align on plain paper until it is right.
4. Load stock, confirm the starting number, print.
5. Void anything that misprints rather than binning it.
Steps 1 and 3 are the ones people skip, and they are the two that cost money.
The short version
What works
- Print setup and the alignment sample are one-time jobs that prevent every later problem
- Print later queues checks so you can batch them rather than printing one at a time
- Blank check stock with MICR toner works, so you are not tied to pre-numbered stock
What does not
- Ordering the wrong stock type produces a full box you cannot use
- Alignment drifts if you change printer, so the sample is worth repeating after any change
- Check stock must carry your routing and account numbers in certified MICR toner, which normal printing does not provide
Frequently asked questions
- How do I print checks in QuickBooks Online?
- Go to Expenses, then Expense transactions, and select Print checks. Open the check and choose Print check, or Print later to queue it. Before your first run, use Print setup to pick Voucher or Standard and to align a sample on plain paper.
- What is the difference between voucher and standard checks?
- Standard stock has three checks to a page. Voucher stock has one check plus two stubs, which is what most businesses use because the stub records what the payment was for. They are physically different paper and are not interchangeable.
- Why are my printed checks misaligned?
- The grid position in Print setup does not match your printer. Fix it by printing the sample on plain paper, holding a blank check behind it against the light, and adjusting the grid until they line up. Repeat on plain paper until it is right, never on real stock.
- Can I print on blank check stock?
- Yes, provided the stock carries your company name, address, routing number, and account number printed in certified MICR magnetic toner. That is a bank requirement rather than a QuickBooks one. Ordinary blank paper will not clear.

He does not claim to have run these tools in production, and the reviews say so at the top of every page.

- Reports source conflicts instead of hiding them
