How to undo a reconciliation in QuickBooks Online, and what it destroys

Undoing one reconciliation also undoes every period after it, and permanently deletes the report and its attachments. Save a copy first. The full undo needs Primary Admin access.

The full undo lives under Accounting then Reconcile then History by account, and needs Primary Admin or in-house accountant access. It also undoes every later period and permanently deletes the report. Save a copy first.

Before you touch anything#

The thing nobody warns you about#

Undoing one period undoes every period after it.

Undo March and April, May, June, July and August come undone with it. QuickBooks does not stop you or make this obvious enough before you confirm.

So the question is never "can I undo March." It is "am I willing to redo six months."

Usually the answer is no, which is why the second method below exists.

Method 1: undo the whole reconciliation#

You need to be Primary Admin or hold the in-house accountant role. If the Undo option is not on your screen, that access is what is missing, not the feature.

1. Go to Accounting, then Reconcile.

2. Choose History by account.

3. Find the reconciliation in the list.

4. In the Action column, choose Undo.

5. Confirm.

That is the whole thing. It is one action, and it takes everything after it with it.

Method 2: unreconcile one transaction#

This is the right answer far more often, and it needs no special permissions.

1. Click the Gear icon, then Chart of accounts.

2. Find the account, then click View register.

3. Locate the transaction.

4. Click the checkmark column until the R clears.

What method 2 changes

Method 1 changes every period from that date forward.

The difference matters. If one transaction was reconciled at the wrong amount, method 2 fixes exactly that and leaves the rest of your history alone.

Which one you actually need#

One or two transactions are wrong → method 2. Fix them in the register. Your reconciliation history stays intact.

The whole period was reconciled against the wrong statement → method 1, and accept that later periods come with it.

You inherited books and the reconciliations look wrong → do not undo anything yet. Download every report first, then decide. Undoing is fast; recreating a year of reconciliation history is not.

After you undo#

You reconcile again. The transactions are still there; only the R marks were removed.

Work forward chronologically, one statement at a time, and check the ending balance matches the statement before moving to the next month. Skipping ahead is how the original mess started.
