What does Xero do? The plain answer, and what it costs
Xero is cloud accounting software for small businesses. What it actually handles, the one thing that makes it cheaper than rivals for a team, and the invoice cap on its entry plan.
Verdict
Xero is cloud accounting software: invoicing, bank reconciliation, expenses, and reporting. Its distinguishing feature is unlimited users on every plan, which makes it cheaper than per-seat rivals for any team. Prices rise 1 October 2026.
What it is#
Xero is cloud accounting software for small businesses. You open it in a browser, connect your bank, and it handles the money side of running a company.
Concretely, it does five things:
| Job | What that means day to day |
|---|---|
| Invoicing | Raise, send, and chase invoices; see what is unpaid |
| Bank reconciliation | Transactions import automatically; you match them to invoices and bills |
| Bills and expenses | Track what you owe and what you have spent |
| Reporting | Profit and loss, balance sheet, cash flow, the things an accountant asks for |
| Payroll | Through paid add-ons, varies by country |
It is a direct competitor to QuickBooks, not a lightweight tool.
The one thing that makes it different#
Unlimited users
On every Xero plan, including the cheapest
QuickBooks charges per seat. That difference compounds fast on a team.
This is the reason to take Xero seriously.
Almost every rival charges per user. Xero charges per plan and lets everybody in: you, your business partner, your bookkeeper, your accountant, whoever raises invoices.
For a solo operator this is worth nothing. For a team of four it can invert the whole price comparison, because one Xero subscription covers what would be four seats elsewhere.
The catch on the cheap plan#
The entry Early plan caps you at 20 invoices a month.
That sounds generous until you actually count. A consultancy billing weekly across ten clients passes it in a fortnight. A trades business invoicing per job passes it in days.
What it costs, and the October change#
Plans start around $25 a month for Early, going to about $27 from 1 October 2026, with higher tiers above.
Every tier rises on that date, so any price you find in an article written earlier this year is already wrong. Check the current figure on Xero's own pricing page.
Remember to compare it correctly: Xero's price is for the whole team, a per-seat rival's price is per person. Our full Xero review works through where that maths lands.
Who it is right for#
Good fit: a small business with more than one person touching the books, that invoices regularly and wants an accountant to have direct access.
Bad fit: a solo operator invoicing a handful of clients a month. The unlimited-users advantage is worth nothing to you, and Wave does that job free.
Worth comparing: anyone currently on QuickBooks after the August 2026 increase. Xero is the closest like-for-like alternative, and the seat maths often favours it. Start with Wave vs QuickBooks if the free option is also on your list.
The short version
What works
- Unlimited users on every tier, including the cheapest, which no major rival offers
- Bank feeds and reconciliation are the core of the product rather than an upsell
- Strong accountant adoption, so handing over your books at year end is straightforward
What does not
- The entry Early plan caps you at 20 invoices a month, which a busy service business passes quickly
- Every tier rises on 1 October 2026, so a quoted price may already be out of date
- No permanently free tier, unlike Wave
Frequently asked questions
- What does Xero actually do?
- It handles the accounting a small business needs: raising and sending invoices, importing and reconciling bank transactions, tracking bills and expenses, running payroll through add-ons, and producing the reports an accountant works from. It runs in a browser, so there is nothing to install.
- What does Xero mean?
- Nothing in particular. It is a brand name, not an abbreviation. The company is a New Zealand accounting software business, and the name was chosen to be short and distinctive rather than to stand for anything.
- How much does Xero cost?
- Plans start around $25 a month for Early, rising to about $27 from 1 October 2026, with higher tiers above that. Every tier increases on that date. The important detail is that all plans include unlimited users, so the headline price is the whole team price.
- Is Xero better than QuickBooks?
- It is cheaper for a team, because QuickBooks charges by seat and Xero does not. QuickBooks has deeper inventory handling and much wider accountant familiarity in the US. If your team is more than two or three people, run both prices on your actual headcount before deciding.

Nizam started Tested AI after noticing how often published software prices are simply wrong. Most articles copy a vendor's pricing page once and never look again. He checks every figure against the vendor's own page, cross-references independent trackers, and states plainly when they disagree rather than picking whichever number reads best. He does not claim to have run these tools in production, and the reviews say so at the top of every page.

- Reports source conflicts instead of hiding them
