What Zapier actually is#

Zapier connects two or more apps so that an action in one triggers a step in another, without writing code. A new form submission creates a CRM record. A new invoice gets logged to a spreadsheet and posted to a Slack channel. It has the largest library of supported apps of any automation tool on the market, which is the main reason it stays the default recommendation even when cheaper alternatives exist.

Enough to prototype a simple automation and see if it holds up, but every Zap on the free plan is capped at one trigger and one action.

The free plan's real limit is not tasks, it is steps#

The 100-task monthly allowance sounds generous, and for a genuinely simple automation it is. The constraint that actually matters is different: free-plan Zaps cannot have more than two steps. One trigger, one action. No filter, no conditional branch, no second action.

How task pricing scales#

Zapier's paid tiers are priced by a combination of plan tier and task allowance, and both move together. Professional starts at $19.99 a month billed annually for 750 tasks, and the same tier goes up to 2,000 tasks for $49 a month annually. Team starts where a comparable Professional tier would cost less, but adds the collaboration features: shared Zap folders, shared app connections, and SAML SSO.

The detail worth planning around: in 2026, AI steps and code steps inside a Zap draw from the same task pool as ordinary actions. A workflow that calls an AI step partway through is not cheaper to run than one that does not; it just uses tasks the same way everything else does.

Who should not start with Zapier#

A business whose workflows are already complex, with several conditional branches per automation, should model the actual task cost before committing. Task pricing rewards simple, high-volume automations and can get expensive for a small number of very complex ones. In that case it is worth pricing out a competitor with flat per-workflow billing before assuming Zapier's larger app library is worth the difference.
