FreshBooks review: you are buying a client count, not a feature set
FreshBooks prices by how many clients you bill, not by what the software does. Lite caps you at five. Every plan is single user, and extra team members cost about $11 each on top.
Verdict
FreshBooks prices by billable client, not by feature. Lite caps you at five clients for about $21 a month annually. Every plan is single user, and extra team members cost about $11 each.

Pros and cons
What works
- Invoicing and time tracking are the product rather than a module bolted onto a general ledger, and it shows in how quickly you can bill a client
- The client-count model is honest in one respect: you always know exactly which limit you are about to hit
- A 30-day trial with no card required means you can test against real clients before committing
- Annual billing takes about 10 percent off, which is a smaller and more reasonable gap than most tools charge
What does not
- Lite caps you at five billable clients, which a freelancer passes in their first busy quarter
- Every plan is single user, so a second person costs about $11 a month on top of the plan price
- Pricing scales on client count rather than on what you need the software to do, so growth costs money before it earns any
- It is weaker than Xero or QuickBooks at general ledger work, which matters at year end
What you are actually buying#
5 billable clients
The Lite plan cap
Not five invoices. Five people or companies you are allowed to bill.
Most accounting tools price on features. Use inventory, pay more. Need multi-currency, pay more.
FreshBooks prices on how many clients you bill. The features barely move between tiers; the client count triples.
That is an unusual model and it has one honest advantage: you always know exactly which wall you are approaching. It also has an obvious disadvantage, which is that growth costs money before it produces any.
The plans#
| Plan | Annually | Billable clients |
|---|---|---|
| Lite | About $21/mo | 5 |
| Plus | About $39/mo | 50 |
| Premium | About $63/mo | Unlimited |
Billed monthly those become roughly $23, $43, and $70. Annual saves about 10 percent, which is a far smaller gap than most tools charge for the same commitment.
The cost nobody quotes#
This is the detail that changes most comparisons, and it is rarely in the headline table.
Where it is genuinely good#
Invoicing and time tracking are the product, not a module.
If you bill by the hour, the loop from tracked time to sent invoice is shorter and less annoying than in a general accounting tool. That is a real difference in daily use, not a feature-list difference.
Proposals and recurring invoices on Plus are similarly built for the way a freelancer or small agency actually works.
Where it is not#
General ledger depth. It is an invoicing tool with accounting attached rather than the other way round. At year end that gap is noticeable.
Accountant familiarity. Fewer accountants work in FreshBooks daily than in QuickBooks or Xero.
The client-count shape. A consultancy with six long-term clients fits perfectly. A business with forty small customers is on Plus immediately, paying for a count rather than for anything it does.
How it compares#
Against Wave: Wave is free, does unlimited invoicing, and has no client caps at all. It is weaker on time tracking and has no multi-currency. If time tracking is not central to your billing, Wave does the same job at zero, which we cover in Wave vs Xero.
Against Xero: Xero includes unlimited users, which inverts the comparison the moment a second person needs access. Xero is stronger on ledger work; FreshBooks is faster to invoice from.
Against QuickBooks: different jobs. QuickBooks is the accounting system your accountant expects. FreshBooks is the billing tool you actually enjoy using. The full list of QuickBooks replacements is in QuickBooks alternatives.
The verdict#
Worth it if you are one person, billing hours to a small stable client list, and the speed of the invoicing loop matters more to you than ledger depth.
Not worth it if you have many small clients, or more than one person needs access. Both are cases where the pricing model works against you rather than with you.

Who FreshBooks is for
Buy it if
- You bill by the hour and want time tracking and invoicing in the same place rather than stitched together
- Your client list is small and stable, so the count caps never become the thing you think about
- You work alone, where the single-user model costs you nothing
Skip it if
- You take on many small clients, since the count caps punish exactly that shape of business
- More than one person needs access, because every extra seat is about $11 a month on top
- You need serious general ledger and reporting depth, where Xero and QuickBooks are simply stronger
Frequently asked questions
- How much does FreshBooks cost?
- Lite is about $23 a month billed monthly and roughly $21 billed annually, Plus about $43 and $39, and Premium about $70 and $63. Select is custom quoted. Annual billing saves around 10 percent, which is a modest gap compared with most software.
- What is a billable client in FreshBooks?
- Anyone you have sent an invoice or estimate to. It is the metric your plan is priced on, so Lite at five clients means five people or companies you can bill. It is not five invoices, so a retainer client billed monthly still counts once.
- Does FreshBooks include multiple users?
- No. Every plan is single user. Additional team members are billed separately at around $11 a month each. On a team of three that is roughly $22 on top of the plan, which changes the comparison against tools that include users.
- Is FreshBooks better than QuickBooks?
- For invoicing and time tracking on a freelance or agency workflow, it is easier and faster. For general ledger work, inventory, and accountant handover, QuickBooks is stronger. They are aimed at different jobs despite both being called accounting software.
